SYLLABI SUBMISSION PROCEDURES
Lone Star College System policy requires that each instructor submit a syllabus for each course taught during a semester. (Note: If you are teaching two sections of the same course, each is to be considered a separate course and must have its own unique syllabus). Please contact your Department Chair for current syllabus requirements.
There are five steps to syllabi submission:
1) Each syllabus is due the FIRST day of the class.
2) Each course syllabus is to be submitted in MICROSOFT WORD. The document shall have 1” margins on all sides of the paper.
- As a reminder, any class calendar that is part of the course syllabus is to be included within the syllabus document, not as a separate document or as an attachment.
- Please make sure that your class syllabus, including the electronic document name, is updated for the current semester.
3) Please save an electronic copy of each course syllabus in the format provided in the example below:

(Last name + comma + first name + underscore + subject + underscore + course number + underscore + section number + semester + year)
Please do not deviate from the format provided. Your electronic syllabi are part of a larger folder on the server and the naming format allows expedient filing and access.
4) Electronic syllabi are DUE ON YOUR FIRST DAY OF CLASS. Please e-mail your syllabi as an attachment:
5) Also, we will need one printed copy of each syllabus for our Division files. Remember to print your name on the upper right hand corner of the document. Please deliver the printed copy of each course syllabus as indicated below:

OFFICIAL DAY ROLLS
First Day Rolls are class lists of students per section used to verify students are in the correct class. At some of the colleges the admissions office or academic offices print these for you the weekend prior to the first day of class but with hundreds of add/drops occurring the first week of classes, these rolls are an extremely inefficient source of up to date and correct information.
Even if the admissions office runs this for you, please print off the roster from My Records as close to the start of your classes as possible. If a student is in your class and not on your rolls send the student to admissions immediately. The only exception would be if a student has a registration form or schedule showing they are registered for your class since you printed your roll. The quicker students talk to admissions the quicker records can be corrected with less disruption to class time, records, the business office and the students.
Occasionally, a student is not aware they were dropped for non-payment or are sitting in the wrong class. For a student to be counted for state funding, they must have paid or established a payment plan prior to official day. One student saved per section (approximately 7,000 sections per fall or spring) can save close to 1 million dollars per term. Waiting to address this issue on the official day rolls is too late.

GRADE / ATTENDANCE SHEETS
The Registrar’s Office will send you both a Grade and Attendance Sheet for each class that you are teaching (see examples below). They are issued within the first three weeks of class and will be places in your mailbox.
You may create your own grade and attendance sheets for your class(es). Please remember that both a grade sheet and an attendance sheet are required for each class when you submit grades at the end of the semester.

The end of this semester has arrived. Grades are to be entered into My Records before 12:00 p.m. on Tuesday, June 16, 2007. (Remember to click on the “Submit” button. Then, (1) log out, (2) log back in to make sure your grades are recorded and will be downloaded into Colleague.)

CIVIL RIGHTS TRAINING
The following guidelines were established by Dean Ellington:
1) Full-time employees must attend the Civil Rights training in person. They are required to attend the next scheduled training the first semester they are hired. Proof of attendance will be forwarded directly to our Lone Star College-Montgomery Human Resources Manager. To register for this training, sign up through “My Workshops”.
2) A new part-time employee (including student assistants) must complete the two-part Civil Rights online training on the first day of work, but no later than two weeks after their first day of work. A copy of the certificate of completion for each part must be submitted to Magali Reyes, Division Operations Manager.

b) You will need to complete both parts of the training. Remember to print your certificate when you finish one section of your training before going to the other section. You must make a grade of 85 or better.
c) Plan to allow at least one hour to complete both parts of this training. Report your time on your time sheet.
d) Please forward your certificates to April Lancaster, June Welch, or Barbara Holman.
