General Mail Information

Viruses:

Viruses can cause a tremendous amount of damage to your computer. Extreme caution should be taken when opening e-mail attachments and downloading files from the Internet.

Prevention:

  • Take caution when opening e-mail messages from someone you do not know. It is best to delete the message.
  • If you open the message but not the attachment, you will not infect your machine.
  • Do not open an attachment with an .exe or .vbs extension
  • Most viruses will be in an attachment form.

If you accidentally open an e-mail that contains a virus, please contact your local service desk immediately.

A technician will need to clean the virus on your machine.

It's good practice to keep your virus software updated on a regular basis. Check with your local service desk for information on keeping your virus software current.

Attachments:

The attachment size for incoming and outgoing e-mail messages is 3 MB.

If the attachment is larger than 3 MB, the message will not be sent. Several alternatives are: to zip the file; have a shared folder created; or divide the file you're sending into smaller files.

Tips for E-mail:

When you type a name in the To box and you see red squiggly lines or a green dotted line, it's because there is more than one person that matches the name. You can either right click on the name and then choose the one that you want, or click on check names under the action menu on the toolbar and pick the name off that list then click ok.

There is a weekly-automated process, which runs every Saturday night, that deletes items in the deleted folder older than 7 days.

To assign a user to send on your behalf:

  • Click on tools on the Outlook Toolbar. Scroll down until you see options on the menu and click on it.
  • Click the delegate's tab.
  • Click on the add tab.
  • In the Type Name or select from list text box type the name of the person you are granting permission to send on your behalf.
  • Highlight the name and then click add. The Delegates permission box appears on the screen.
  • Click the down arrow at the end of the inbox and select the permissions for the delegate you are granting permissions to.
  • Click Okay. Then click apply and okay.

Out Of Office Assistant:

  • On the file menu on the Outlook toolbar click on tools and scroll down the menu until you see Out of Office Assistant, click on it.
  • The out of office assistant text box appears on the screen.
  • Click on "I am currently out of the office".
  • Type the message in the Auto Reply text box. The auto reply will only be sent once to each sender that sends you mail.
    Click okay.
  • When you return to work, follow the procedures from above and click "I am currently in the office".
  • Remove the Auto Reply message from the Auto Reply Text box.
  • Click okay to finish.
